What you'll do

Picture this: a ship full of guests is about to sail into the Antarctic ice for the trip of a lifetime. Every name on the manifest, every flight connection and every final document is in order – because you made sure of it. At Polar Latitudes Expeditions, we send people on polar expeditions to the Arctic and Antarctica aboard modern expedition vessels. Our journeys are built around sustainability, authenticity and quality, and we're committed to greener expedition travel – from cutting single-use plastics to working closely with local communities in places like Greenland. About the role As Product Support Coordinator, you'll join our Handling Team in Copenhagen and take ownership of the departures for one of our expedition ships. From the moment a booking is made until the ship sets sail, you're the person who knows every detail of that departure. The position is office-based in Copenhagen and full-time (37 hours per week), with working hours scheduled Monday to Friday between 08:00 and 18:00 (subject to adjustment). Travel related to product familiarization (approximately 14–21 days per year) will be required during the first two years of employment. You will collaborate closely with colleagues across our offices in Copenhagen, North America, Asia, and Australia What you'll do

  • Own all departures for your assigned ship, managing bookings in our reservation system and issuing invoices
  • Handle finals for your departures: hubs, final documentation and the ship
  • Report final passenger numbers to suppliers
  • Coordinate charters and large groups, including managing the charter and group inbox
  • Assist with pre- and post-departure inquiries from agents, partners and guests
  • Share ideas that help us improve our processes

Who you are

  • Highly organized and detail-oriented – you notice the one missing passport number in a list of 185 passengers
  • Comfortable owning a process from start to finish and juggling several departures at once
  • Confident with systems; experience with HubSpot is an advantage
  • Experience in tour operations, travel handling, booking or groups is a strong advantage
  • A clear communicator in English, both written and spoken
  • Collaborative and calm under pressure, working across time zones and teams
  • Flexible and comfortable in an evolving organization

Why join Polar Latitudes Expeditions ? At Polar Latitudes Expeditions, you will become part of a close-knit team where there is a short path from idea to action. We’ve retained some of the speed and flexibility from our startup years but are now in the middle of an exciting transition, building more structure and scalable solutions - without losing the fun and informal atmosphere of everyday life. You will work closely with colleagues at our headquarters in Copenhagen and across our offices in Europe, North America, Asia, and Australia, contributing to smooth operations and an outstanding customer experience.
