We are looking for an Organizational Coordinator to our gaming client.

Location: Required to work on-site 3 days per week in Stockholm
As a Organizational Coordinator, you help the gaming organization operate with clarity, consistency, and momentum. You combine hands-on administrative support with program coordination, connecting leaders and teams, organizing information, and keeping priorities, decisions, and follow-through visible. You anticipate needs, bring structure to ambiguity, and create the practical operating rhythm that enables others to focus on high-impact work.
What You’ll Do
- Coordinate administrative programs, projects, and priorities from planning through completion, maintaining clear owners, milestones, dependencies, and status updates.
- Support the people side of the organization by coordinating thoughtful initiatives that strengthen team culture, connection, recognition, and employee experience.
- Manage complex calendars, meeting logistics, team events, and travel; resolve conflicts and ensure participants have the right context and materials.
- Prepare agendas, presentations, briefing documents, and meeting notes; capture decisions, actions, and follow-ups and drive them to closure.
- Maintain program documentation, trackers, shared workspaces, contact lists, and communication channels so information is accurate, accessible, and current.
- Partner with leaders and cross-functional teams to coordinate planning cycles, reviews, workshops, onboarding, and recurring business rhythms.
- Support purchase requests, invoices, expenses, vendor coordination, and basic budget tracking in line with company processes.
- Identify operational gaps, simplify workflows, and introduce practical tools and standards that improve team efficiency and collaboration.
- Handle sensitive information with sound judgment, discretion, and attention to policy and confidentiality.
What You Bring
- Experience in program coordination, project support, business operations, or administrative support within a fast-paced organization.
- Excellent organization and prioritization skills, with the ability to manage multiple workstreams and changing demands without losing attention to detail.
- Strong written and verbal communication skills, including the ability to synthesize information and tailor communications for different audiences.
- Confidence working with senior leaders and diverse stakeholders across functions, locations, and time zones.
- Proficiency with Microsoft 365 tools, including Outlook, Teams, Word, PowerPoint, Excel, and SharePoint; comfort learning new systems quickly.
- A proactive, service-minded approach, sound judgment, and the ability to work independently while remaining closely connected to the team.
- Interest in games, creative collaboration, and supporting teams that build experiences for a global player community.
