We're hiring someone to take on Office Management & People Operations in Copenhagen to keep the engine room running: payroll, HR administration, finance support, IT, and the office itself - to help the entire company amplify their impact for our customers, our product, and the science we work on. Job requirements You'll play an important role in the day-to-day of the company's operations. Your main task is to keep the office operational and ensure a vibrant, well-functioning working environment. Moreover, you will be taking care of people operations. This means keeping employee information up to date, updating contracts, and maintaining guidelines and handbooks. You'll be the go-to person across a wide range of questions, working closely with your colleagues in the Operations team, the broader Reshape employee group, and external partners such as bookkeepers, IT partners, cleaning and catering providers. What You Would Be Doing Naturally, this is a role wearing many hats with a wide range of tasks. These can be changed on an ongoing basis but below provides a good overview of some of the current responsibility areas Office Management

  • Keep the Copenhagen office stocked, clean, and running smoothly
  • Set up workstations for new hires and handle general maintenance
  • Manage meeting room functionality, office safety, and access/keys
  • Ensure a fun and vibrant office environment with frequent company events and social gatherings

People Operations

  • Keep employee records, contracts, and onboarding/offboarding up to date
  • Handle vacation, leave, and benefits (incl. pension) questions
  • Maintain HR systems and the internal Playbook/handbook
  • Organize social events such as Friday bars, social workouts and company parties.
  • Ensure smooth onboarding and offboarding, working closely with colleagues and IT partners

Administration

  • Support monthly payroll and bookkeeping
  • Process invoice payments
  • Support Information Security documentation

You enjoy being the glue that holds everything together and love taking on new tasks and projects. You are organized, dependable, and quick to pick up new systems. A natural point of contact people trust with their questions, and happy to be hands-on when something needs fixing. You are motivated by ensuring a vibrant working environment, and you enjoy the social aspects of working with people. What You Bring

  • You may have experience in an office management, HR administration, or operations coordination role. More importantly, you thrive in fast-paced environments and can be adaptable to new tasks and projects.
  • Comfort working across payroll, finance, HR, and IT without needing deep expertise in any one.
  • Highly organized, with a natural instinct for keeping things on track.
  • An extrovert who genuinely enjoys working with people and thrives on the social side of the role; planning events and being a visible, approachable presence in the office.
  • Fluent English is required; Danish language skills are a strong preference.
