The Council of the Haida Nation (CHN) is responsible for the stewardship of lands, waters and people. About The Role The Governance Executive Assistant manages and coordinates all administrative operations within the Governance department. Working collaboratively with team support, this role directly assists the President and Vice-President in organizing, scheduling, planning and delivery of all day-to-day functions of the Council of the Haida Nation (CHN). The Governance Executive Assistant position supports the Governance department, leadership boards and committees, as well as coordinating organization, scheduling, and planning of leadership's calendar. A primary focus of this position is ensuring meticulous documentation – including comprehensive notes, minutes, action item tracking, and briefing note drafting– while managing internal information systems. All processes follow an established standardization, and a supportive training is provided to ensure your success. The Governance EA requires a flexible schedule, as evenings and weekend work is necessary and regular component of this role to support governance meetings and events. Key Duties & Responsibilities Duties include, but are not limited to, the following:

  • Supporting the President and VP with scheduling, inbox management, and daily administrative tasks.
  • providing support to various boards and committees as delegated by the Governance Director.
  • Ensure that reports, data, records, minutes and other information are maintained, filed and organized.
  • Coordinate all aspects of meetings, including scheduling, physical/virtual logistics, minutes and material distribution.
  • Draft reports and briefing notes as directed, assembling materials and reports as needed.
  • May supervise staff to coordinate work, provide direction, ensure timely completion of tasks and workflow monitoring.
  • Track, assist, and implement relevant departmental timelines and schedules.
  • Ensure systems are in place to maintain confidentiality.
  • Support key events such as House of Assembly, reporting out sessions, and community events.
  • Provide administrative support to committees as needed.

Qualifications

  • At least two years of experience working in a fast-paced setting, with proficiency in Office 365.
  • Excellent transcription, written and verbal communication skills.
  • Excellent organizational, coordination and time management skills.
  • Experienced in managing information systems, detail orientated.
  • Experienced in operating at a professional, confidential level as part of a team.
  • Formal office training is an asset or an equivalent combination of education, training and ability.
  • Class 5 driver’s license.

  • Hourly rate: $34.00 - $39.14 based on experience.
