To our customer Lipum – a clinical phase biopharmaceutical company specializing in the discovery and development of new treatments for chronic inflammatory diseases – we are looking for an Executive Assistant. THE ROLE Position overview The Executive Assistant to the CEO is a highly trusted and hands-on partner who helps the CEO convert priorities into action. The role combines executive support with practical responsibility for financing activities, partner communication, meeting and presentation preparation. The role reports directly to the CEO and works closely with the management team, Board representatives, finance and communications functions. RESPONSIBILITIES Financing and Investor-Related Support -Support the CEO in planning and executing financing activities, including timelines, workstreams, data requests, and follow-up. -Coordinate input from management, the Board, advisers, legal counsel, and other external parties. -Prepare and quality-check investor presentations, briefing materials, Q&A documents, data-room content, and decision support. -Track key discussions, commitments, dependencies, and next steps, ensuring strict confidentiality. Partner and Stakeholder Communication -Draft and coordinate communication with partners, investors, advisers, and other key stakeholders. -Prepare background notes, talking points, meeting briefs, and follow-up communication for the CEO. -Keep track of stakeholder dialogues, agreed actions, and deadlines. -Adapt communication to the audience while ensuring accuracy, consistency, and confidentiality. Meetings and Presentations -Plan and prepare internal and external meetings, including agendas, objectives, attendees, briefing packs, and pre-reads. -Develop clear presentations and supporting materials for Board, investors, partners, management, and strategic meetings. -Capture decisions, actions, owners, and deadlines, and ensure timely follow-up. -Support the CEO in prioritizing meetings and preparation based on business impact and urgency. Executive Operations and Support -Support the CEO in coordinating internal priorities, activities, and key deliverables across the organisation. -Provide practical support to the CEO, including selected calendar, travel, document, and administrative tasks as needed. -Coordinate across internal functions to maintain momentum, clarify ownership, and ensure effective follow-up. -Monitor internal deadlines, actions, and dependencies, and follow up with relevant teams when needed. COMPETENCE REQUIREMENT AND ABILITIES Competencies -Academic degree in Life Sciences or another relevant field, such as a Master’s in Bioentrepreneurship. -Ideally a few years of professional experience within Life Science following graduation. -Strong written and verbal communication skills, with the ability to communicate professionally in both internal and external settings. -Strong proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint as well as SharePoint and Teams. -Good understanding of the Life Science environment and its key stakeholders. -Fluency in English, both written and spoken, is required. Abilities -Structured and action-oriented, with the drive to move things forward and follow through. -Proactive and self-driven, taking ownership and initiative without always waiting for direction. -Able to see the broader context, identify what matters, and adjust priorities accordingly. -Comfortable working across different functions and areas of the business, adapting to different situations and stakeholders. -Confident working independently within agreed mandates, with the judgement to involve the CEO at the right time. -Open-minded, curious, and adaptable, with a willingness to take on a broad range of responsibilities. -Able to manage several activities at the same time while maintaining structure and momentum.
